This entails meticulously examining work accident (AT) reports from the previous day across five distinct sites, followed by appropriate communication with relevant stakeholders.
At the outset of every month, I am tasked with the compilation of integration sheets and Behavior Safety Visit (VCS) reports in preparation for the director's meeting. Furthermore, I engage in weekly discussions during the directors' meeting every Tuesday, where I provide updates on site operations.
During my routine activities, I encountered a significant challenge related to the preparation of meeting documents for the CODIR (executive committee). Each month, I receive numerous integration sheets for new temporary workers. These documents are typically printed and organized within a folder on my desk. However, at the end of the month, the manual counting of integration sheets proved to be time-consuming, particularly when sites reported upwards of 150 new integrations.
This extensive printing not only demanded considerable time but also consumed vital company resources, such as ink and paper. Recognizing the inefficiency of this process, I initiated a proposal for digitizing integration forms by creating a digital repository for each site. This digital transformation was later expanded to encompass various other printed documents, facilitating a more streamlined approach to information management.
This experience underscored the imperative for organizations to adapt and enhance efficiency in light of technological advancements. Every challenge presents an opportunity for innovation, whether through technological or operational means. By implementing digital processes, we not only saved valuable time but also improved organizational structure and data accessibility.
